Privacy Policy

Last updated: July 2026. This privacy policy describes how Wardax may collect and use information in connection with its AI receptionist service.

1. Information collected

Wardax may collect business name, owner contact details, service area, services offered, scheduling rules, call-handling preferences, caller details, call summaries, and related operational information. Where a client has outbound calling in scope on the Scale plan, Wardax also processes contact lists the client supplies, which may contain the personal information of that client's own customers.

2. How information is used

Information is used to configure and operate the AI receptionist, route calls, send summaries, troubleshoot issues, improve workflows, process payments, and communicate with clients. Client-supplied contact lists are used only to run the outbound campaign that client has agreed to, and for no other purpose.

3. Call recordings and transcripts

Calls are recorded and transcribed so clients can review exactly what their customers were told, and so Wardax can troubleshoot and improve each client’s call flow. Recordings and transcripts are used only to operate and improve the service — they are never sold and never shared with third parties for their own use. During setup, Wardax configures the caller recording notice together with the client so it meets Canadian requirements; clients are not left to work that out alone.

3A. Client-supplied contact lists

When a client supplies a contact list for an outbound campaign, Wardax handles that list on the client's behalf and on the client's instructions. Wardax does not use those contacts for its own marketing, does not sell or share them, and does not add them to any other client's campaign.

The client remains responsible for the personal information in the list, including having any consent required to contact those people. Opt-out requests captured on a call are reported back to the client so the client can update its own records.

A client may ask Wardax to return or delete a supplied contact list at any time. Lists are deleted when a client's service ends, subject to the retention period in Section 5.

4. Service providers

Wardax may use third-party providers for phone systems, AI processing, CRM, email, SMS, analytics, and payment processing. Payment information is processed by Stripe.

5. Data retention

Wardax may retain operational records for as long as needed to provide the service, troubleshoot issues, comply with obligations, and maintain business records.

6. Your choices

Clients can request updates or deletion of certain information where legally and operationally possible.
